Booking Conditions

Please read the following conditions carefully, as products and services sold by us are subject to these conditions unless otherwise agreed. Africa Travel Destination Management Company (Pty) (hereafter referred to as 'we', 'our' and 'us' and the Agent (hereafter referred to as 'Agent', 'you' and 'your') agree that the terms and conditions for the services provided by us to you shall be governed by the Booking Conditions detailed below and that the said Booking Conditions shall form an entire part of the service contract, whether verbal or written, entered into between Africa Travel Destination Management Company (Pty) and the Agent.

Validity

All prices quoted to you are on a net basis and in South African Rand (ZAR) and are valid according to the date specified on our printed tariffs, quotations, and invoices issued to you. We warrant that the prices quoted to you are correct at the time of issuance of the quotation or invoice but are subject to change in line with market, tax or currency fluctuation without prior notice.

Reservation & Confirmation

Reservations can be made by telephone or email and will be confirmed the same day whenever possible. A reservation is not deemed to have been made until it is confirmed by a member of our staff.

Payment for FIT Bookings

A 20% deposit is due to secure the booking. In peak season,  an additional deposit may be required and the amount will be advised at the time the booking is confirmed. The balance is due 60 days prior arrival.

Unless otherwise agreed by us, your payment should be executed by swift or telegraphic transfer to the Africa Travel Destination Management Company (Pty) bank account detailed on the invoice. Any bank charges levied by the sending bank relating to transfers to Africa Travel Destination Management Company (Pty) must be paid by the Agent. Payment by credit card is acceptable but a service charge will apply.

All payments must be made as per the invoice and according to terms below else the booking will be considered void and your reservations will be released.

Credit is not available unless pre-negotiated and written notice is given offering credit terms by Africa Travel Destination Management Company (Pty).

Client Documents

All bookings will be confirmed by email along with relevant documentations such as Final Itinerary Booking Vouchers and Air Tickets.  The confirmation email will constitute a written agreement and confirmation of all bookings.

Unless otherwise agreed in advance, we expect you to issue your clients with appropriate receipts and vouchers required. If your client has no such documents then your client’s passport details will suffice as proof of identification and all services will be provided as agreed.

On arrival your clients will receive a welcome note issued by us on behalf of you as well as all necessary hotel and any other tour vouchers deemed necessary by us.

If you need us to issue documents on your behalf, please inform us in writing not less than 30 days prior to your client’s arrival. Service charges for such services may apply.

Fit Payment & Cancellation Policy

Except as otherwise agreed by Africa Travel Destination Management Company (Pty), Client's payment shall be executed by swift or telegraphic transfer to Africa Travel Destination Management Company (Pty) bank account. Any bank charges levied by the sending bank relating to transfers to Africa Travel Destination Management Company (Pty) must be paid by the Client/Agent. Payment by credit card is acceptable but a service charge will apply.

All payments must be made as per the invoice and according to terms below otherwise the booking will be considered void and all reservations will be released.

Any cancellations should be made in writing. Cancellations made 31 days prior to the arrival of clients will not be subject to cancellation fees, except those according to the policies of hotels, airlines and other contractors of Africa Travel Destination Management Company (Pty).

Cancellations within 30 days or less prior to arrival will be subject to the following charges:

  • Between 30 days and 22 days before departure: 15% of total tour cost
  • Between 21 days and 15 days before departure: 25% of total tour cost
  • Between 14 days and 8 days before departure: 50 % of total tour cost
  • Between 7 days and 48 hours before departure: 75 % of total tour cost
  • Less than 48 hours before departure: 90 % of total tour cost
  • No-show at the airport on the day of departure: No refund

Special conditions: This policy may also vary for holiday and peak season bookings and according to the cancellation policies of hotels, airlines and other contractors of Africa Travel Destination Management Company (Pty).

Claims

All disputes, claims and litigation regarding the Services shall first be settled by way of negotiation and mutual understanding. In the event such negotiation and mutual understanding would fail, the disputes, claim or litigation shall be finally settled by local arbitration in the destination in which the dispute took place. All claims must be submitted in writing within 30 days after the end of the Services.

Liability

We will always do our utmost to provide the Services to the best of our capacity and to the satisfaction of the Agent and their client. It is the understanding of the Agent that we act as an intermediary between the Agent and airlines, hotels, transport operators, local tourist offices and other contractors providing services to the Agent. We shall in no event be liable to the Agent, by reason of breach of services or unsatisfactory services provided to the Agent by third parties or by way of indemnity or in tort or otherwise, for any loss, injury, damage, delay, change in schedule or other adverse events which are beyond our control and/or sustained by an act or default of any person or company providing the Services to the Agent. The Agent warrants that we shall not be responsible and/or liable for additional expenses and/or damages incurred due to any delay, accidents, natural disaster, political action or unrest.
